1. Who we are
This website is operated by Ventora Retail Group Ltd, a private limited company registered in England and Wales under company number 17553217 (“Ventora”, “we”, “us”). We are the controller of the personal information described in this policy, which means we decide how and why it is used.
If you have any questions about this policy or how we handle your information, please email info@ventoragrp.co.uk with “Privacy” in the subject line.
2. Information we collect
Information you give us
When you use our contact or supplier enquiry forms, or email us, we collect the information you choose to provide. This may include:
- your name;
- your email address and, if you provide it, your telephone number;
- your company name and website;
- details of your enquiry, the products you supply and anything else you include in your message.
Please do not send us sensitive personal information (such as information about health) through the website.
Information collected when you visit
When you visit the website, our hosting provider automatically processes technical information needed to deliver the pages to you and keep the service secure — such as your IP address, browser type, the pages you request and the time of your visit. When you send an enquiry, we use your IP address briefly to limit repeated submissions and protect the forms from misuse; we do not store it alongside your enquiry.
Cookies
This website does not use cookies or analytics. Our Cookie Policy explains this in more detail.
3. How we use it and why
UK data protection law requires us to have a lawful basis for using personal information. We use it as follows:
- To respond to your enquiry and continue any conversation that follows — on the basis of our legitimate interest in running and developing our business and answering the people who contact us.
- To assess and manage supplier and commercial relationships — where you represent a business we may work with, on the basis of taking steps before entering into a contract, or our legitimate interests.
- To keep our website and forms secure and prevent spam and misuse — on the basis of our legitimate interests.
- To meet our legal obligations, such as keeping business records — where the law requires it.
We do not sell personal information, and we will not use the details you send through this website for marketing unless you have separately agreed to that.
4. Who we share it with
We share personal information only where needed, with:
- service providers who act on our behalf, such as our website hosting provider, our email delivery provider and our business email service;
- professional advisers, such as accountants or lawyers, where necessary;
- law enforcement, regulators or other authorities where we are legally required to do so.
Our service providers may only use your information to provide their services to us, and must keep it secure.
5. International transfers
Some of our service providers may process information outside the United Kingdom. Where they do, we make sure appropriate safeguards are in place — for example, a UK government adequacy decision, or contractual terms such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
6. How long we keep it
We keep personal information only for as long as we need it:
- enquiries that do not lead to a business relationship are kept for up to 24 months after our last contact, then deleted;
- information about suppliers and commercial partners we work with is kept for the duration of the relationship and for up to six years afterwards, to meet legal, accounting and contractual requirements;
- technical information processed by our hosting provider is kept for a short period in line with that provider’s own practices.
7. Keeping it secure
The website is served over an encrypted connection, enquiries are sent securely to our business email, and access to personal information is limited to the people who need it. No method of transmission over the internet is completely secure, but we take appropriate steps to protect the information we hold.
8. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to our use of your information where we rely on legitimate interests;
- ask for your information in a portable format, where applicable;
- withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, email info@ventoragrp.co.uk. We will respond within one month. We may need to confirm your identity before acting on a request.
9. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
